Job Description
Administrative Operations:
- Implement and supervise all office administrative procedures to ensure efficiency and policy compliance.
- Maintain office systems including document management, supply procurement, and vendor relations.
- Assist in the preparation of regular business reports and executive updates for senior leadership.
- Collaborate with IT to ensure optimal function of office equipment, software, and communication tools (e.g., Microsoft Teams, and other company platforms).
- Ensure security, compliance, and alignment with company policies in all office activities.
Cross-Functional Support:
- Implement and uphold the company's values, culture, and performance standards across the team.
- Develop and monitor KPIs for team members and support performance evaluations.
- Update and implement the?Training and Management Materials?to fit the local business context while maintaining alignment with overall company standards.
- Promote a high-performance, accountable, and collaborative work environment.
- Support recruitment, onboarding, and training of new staff in accordance with company guidelines.
Financial & Strategic Management:
- Manage office budgets, financial reports, and forecasts in alignment with company goals.
- Analyze market trends to identify business opportunities and support expansion efforts.
- Monitor departmental performance metrics and initiate process improvements where necessary.
- Prepare and present strategic and operational reports to senior leadership.
- Coordinate special projects, oversee timelines, and ensure successful implementation of new initiatives.
Leadership & Culture:
- Promote a positive, high-performance culture that encourages teamwork, accountability, and growth.
- Support recruitment, onboarding, and training of new administrative team members.
- Take proactive measures and embrace additional responsibilities to ensure team and business success.
- Carry out extra duties as assigned by senior leadership.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field (or equivalent experience).
- 4+ years of experience in office management or a similar leadership role.
- Proficient with Microsoft Office Suite, Microsoft Teams, and office management software.
- Strong financial literacy and experience managing budgets and reports.
- Excellent written and verbal communication skills.
- High level of discretion and professionalism.
- Ability to multitask and remain calm under pressure.
- Availability and willingness to respond to urgent business matters outside of traditional hours.
Preferred Qualifications:
- Experience supporting sales and/or customer service teams.
- Familiarity with CRM, ERP, and project management tools.
- Background in strategic operations or business development.
Work Environment:
